THE OPPORTUNITY

The HRIS Systems & Data Analytics Specialist plays a pivotal role in advancing the organization’s HR technology ecosystem and elevating the use of workforce data to support strategic decision-making. This role is ideal for someone who is naturally collaborative, values-driven, curious, and thrives on helping others succeed. You will be the go-to expert who can take a desired outcome—whether a workflow improvement, a data question, or a system challenge—and figure out the best path forward.

You will optimize, maintain, and evolve HR systems and analytics across the employee lifecycle, ensuring data integrity, seamless processes, and meaningful insights. Working closely within the People and Culture team, as well as Finance, IT, Decision Support, and all levels of leadership, you will ensure that HR technology supports operational excellence, enhances the employee experience, and provides leaders with clear, actionable information.

This is a hands‑on, solutions‑oriented role for someone who enjoys problem‑solving, building relationships, and leading system‑driven improvements that make work easier for everyone.

 

KEY ACCOUNTABILITIES & RESPONSIBILITIES

HRIS Administration, Optimization and Governance

  • Oversee the administration, configuration, and continuous improvement of HR systems, including, but not limited to core HRIS, payroll, timekeeping, scheduling, learning management system, and talent acquisition systems.
  • Lead system maintenance, upgrades, integrations, and user access/security.
  • Serve as project manager for system enhancements, upgrades, and optimization initiatives.
  • Collaborate with IT and external vendors to implement new technologies and ensure systems evolve with organizational needs.

Process Improvement and Automation

  • Identify opportunities to automate manual processes and streamline workflows, and educate team members on available technology that enable more efficient work.
  • Design, test, and implement automation solutions that improve accuracy, reduce administrative workload, and enhance compliance.
  • Develop workflows, dashboards, and tools that support scheduling, approvals, and data reconciliation.
  • Provide recommendations for system improvements based on best practices and future needs.

Data Analytics, Reporting and Insights

  • Develop and maintain automated HR and workforce analytics dashboards and reports.
  • Merge data from multiple systems to uncover trends, risks, and opportunities.
  • Respond to organizational reporting needs, including internal metrics, compliance reporting, and external surveys, including the Ontario Hospital Association (OHA).
  • Conduct regular data audits to ensure accuracy, consistency, and data integrity across all HR systems.
  • Present data in clear, business-friendly formats that support senior leadership decision-making.

Partner Support, Training and Collaboration

  • Provide training, documentation, and guidance within People and Culture, and with operational leaders on system functionality and data use.
  • Collaborate with internal partners to understand workforce planning needs and translate them into system‑driven solutions.
  • Maintain strong relationships with external partners to ensure timely issue resolution and system optimization.

Compliance, Quality Assurance and Governance

  • Conduct quality audits, system integrity checks, and compliance reviews.
  • Maintain a strong understanding of data privacy and security regulations.
  • Support policy development and contribute to continuous quality improvement initiatives.
  • Perform other duties as assigned.

 

QUALIFICATIONS & EXPERIENCE

The ideal candidate will possess the following key competencies, record of experience and academic preparation:

  • Post‑secondary degree or diploma in Human Resources, Business, Technology, or a related field.
  • CHRP or relevant technical certification considered an asset.
  • Minimum 5 years of progressive experience in HRIS or HR systems administration, workforce analytics, payroll, or HR technology roles.
  • Experience leading or supporting system implementations, upgrades, integrations, or automation initiatives.
  • Strong working knowledge of HRIS, payroll, scheduling, timekeeping systems, and talent acquisition systems. Current systems used are Meditech, UKG and Talent Pool Builder.
  • Advanced Excel skills with strong proficiency in data analysis and data automation; experience with tools such as Power BI, SQL, or Access is an asset.
  • Familiarity with database concepts, APIs, and data integrations across HR and payroll systems.
  • Strong analytical, critical thinking, and problem‑solving skills with exceptional attention to detail and data accuracy.
  • Excellent verbal and written communication skills, with the ability to translate complex data into clear, actionable insights.
  • Exceptional interpersonal skills with a collaborative, customer‑focused approach and the ability to build strong relationships across teams.
  • Demonstrated ability to adapt to change, manage multiple priorities, and operate effectively in a fast‑paced environment.
  • Proven reliability, punctuality, and commitment to high‑quality work and organizational values.
  • Ability to lead or support small to medium‑scale projects and process improvement initiatives

  • As a partially designated French speaking organization, French verbal and written communication skills are considered an asset in this position.
